This Privacy Policy explains how we collect, use, and protect information when you use support.commcats.com and Keystone Bot. This site provides educational resources and support for Discord server owners, admins, and moderators. We are not affiliated with Discord.

We collect the following information when you use our support services:
- Email address
- Discord username and Discord ID
- Discord server ID (when provided)
- Support ticket content and uploaded files
We do not create user accounts on this site.
How We Use Your Information
We use your information to:
- Respond to support requests
- Provide educational and troubleshooting assistance
- Improve our services and documentation
Data Retention
Support tickets and associated files are deleted 30 days after resolution. Contact emails are kept only as long as needed to resolve your request.

- Discord OAuth (for identity verification)

We do not use advertising networks or sell your data.

Keystone Bot
Information We Collect
Keystone Bot collects and stores the following data when added to a Discord server:
- Guild ID and basic guild metadata
- User IDs and display names of members who interact with bot features
- Forum post author, title, body, tag, link and attachment type, for forum channels linked to Sheet Logger
- Support ticket content and generated transcripts
- Configured template content and their posting configuration
- Invite tracking data (who invited whom, join timestamps)
- Giveaway entry records, winner selections, and key claim records
- Key pool configuration, claim records, claimer user IDs, and answers members submit in key request forms.
- The Discord user ID of the member who purchased Premium for a server
- Privacy opt-out preferences
- Milestone configuration and state per guild
- Sheet Logger channel links and configuration
Keystone Bot requires access to message content and guild member data to operate certain features. The does not read direct messages or store message content on our own servers. The only message content it stores is the forum post body Sheet Logger writes to the server's own Google Sheet, cleared after 30 days. Data collection is limited to explicit bot interactions and the information listed above.
How We Use This Data
Data collected by Keystone Bot is used exclusively to:
- Operate the features you have configured
- Maintain accurate records for prize distribution and claim verification
- Generate leaderboards and referral statistics within your server
Data Retention
- Active data is only retained for as long as necessary to provide you with the requested service, e.g. a 7-day or 28-day invite leaderboard.
- Giveaway and key pool claimer records are automatically wiped 30 days after a giveaway ends or a key pool is closed. Key request answers are cleared 30 days after the request is accepted or denied.
- Ticket records are automatically anonymized 30 days after resolution.
- Sheet Logger: the username and post body in each row are cleared 30 days after the post was created. Title, tag, link and attachment type remain as server metadata.
- Invite join records are kept for the current referral cycle, never more than 28 days.
- Staff IDs recorded against Milestone actions are cleared after 30 days.
- On bot removal, the Discord server's data is permanently deleted 14 days later, unless the bot is re-added.
Some data is kept only while a feature needs it: claimer IDs on an open key pool (to enforce claim limits), the reporter ID on an open ticket, answers on an undecided key request, staff IDs on configuration records and staff actions, the Premium purchaser's ID (billing), and your opt-out preference (so you are never opted back in without asking).
The data is protected using commercially reasonable means to prevent loss and theft, as well as unauthorized access, disclosure, copying, use or modification. Sheet Logger data lives in the server's own Google Sheet and is protected by Google's encryption.
Data Sharing
Bot data is not sold or shared for advertising. Sheet Logger data is written to a Google Sheet that you own and control, using our Google Service Account. Premium payments are processed by Stripe. We do not have access to your sheet beyond what is required to operate the feature.
Your Rights
Server administrators may request deletion of their server's data at any time by contacting us via the contact page.
Server members can opt out with the /privacy command or the buttons in the bot's privacy DM. Opting out applies across every server: Sheet Logger writes [Opted out] instead of your username and post body, and Tickets replaces your name with [reporter]. Ticket messages stay in the server's Discord channels so staff can help you.
